How we calculate savings.

Every calculator on this site, the Workflow Leak Scan, and every emailed report use one deterministic formula. No black box, no rounded-up hype. Here it is in full, with the assumptions and the limits.

The formula

Hours a year = times per week × (minutes each time ÷ 60) × people involved × 52 weeks

  • Cost a year = hours a year × your rough cost per hour (£)
  • Working days = hours a year ÷ 7.5 (a standard working day)
  • Opportunity = cost a year × 50% (the share we assume automation could handle)

A worked example

A task done 8 times a week, taking 15 minutes each time, involving 2 people, at a rough cost of £22 an hour:

  • 8 × (15 ÷ 60) × 2 × 52 = 208 hours a year
  • 208 × £22 = £4,576 a year
  • 208 ÷ 7.5 ≈ 28 working days
  • £4,576 × 50% = £2,288 a year of realistic opportunity

The assumptions, and why

  • 52 weeks. Most operational tasks do not pause for holidays; if yours does, your true figure is a little lower.
  • 7.5-hour day. The standard UK working day; used only to translate hours into something you can feel.
  • 50% automation share. Deliberately conservative. Some workflows automate almost entirely; others keep a person in the loop for judgement and sign-off. We would rather quote half and beat it.
  • Your inputs. The figures are only as accurate as your estimates of frequency, duration, people and hourly cost. The free audit replaces estimates with observed numbers.

What these figures are not

They are indicative, not a quotation, a promise or a measured result. They do not include the cost of building or running an automation, and they are not client results: any real, measured outcome we publish is labelled as such on the case studies page, with its own working shown. Until then, everything here is arithmetic you can check.
